Your responsibilities will include, but are not limited to:
- Identify inefficiencies in company processes and develop strategies to automate and streamline workflows. Research, recommend, and deploy suitable automation tools and document control software/ tools.
- Develop system usage guidelines and train staff on these automated systems and processes.
- Research, recommend, and deploy suitable document control software or tools available in the market to enhance the efficiency of document management processes.
- Develop and improve the company's data input systems for increased accuracy, ease of tracking, and streamlined workflows.
- Control all aspects of documentation with multiple simultaneous products, projects and other important stakeholders, utilizing the traditional methods/systems of document control.
- Create and maintain Document Control folders/system and correspondence folders for various products and stakeholders. Ensure accurate access rights and permissions to the folders/system.
- Provide effective control for documents, and drawings, adhering to standard procedure. Monitoring and auditing document workflows to ensure consistency and adherence to quality standards.
- Supporting the documentation needs of project/product teams and departments by facilitating document approvals, revisions, and archiving. Enforcing compliance with company and client policies, particularly concerning the disposal of confidential documents.
